Every Eurovision performance hangs by a thread, with a dedicated "invisible crew" executing lightning-fast set changes in just 35 seconds. From precise prop placements to meticulous microphone setups, these behind-the-scenes heroes ensure everything runs smoothly under immense pressure.



Thirty-five seconds. That's the slim window of time during the Eurovision Song Contest for a whirlwind transformation on stage. A team of nearly forty people races against the clock to facilitate seamless transitions between performances, ensuring that every detail is impeccably attended to. From microphones and earpieces to props, every component must be perfectly arranged in that brief span, all while viewers enjoy the whimsical postcard introductions.

"The stage change is like a Formula 1 pit stop," emphasizes Richard van Rouwendaal, the amiable Dutch stage manager orchestrating the behind-the-scenes magic. Each team member has a specific task, such as carrying a prop or adjusting lighting, and they meticulously follow predetermined paths to avoid collisions. “If you veer off course, it could disrupt the entire operation,” he compares it to an intricately choreographed ice skating routine.

Rehearsals for these rapid set swaps begin well in advance—sometimes weeks before contestants arrive. Countries provide detailed staging plans, and stand-ins, such as local performing arts students, help the crew practice the elaborate routine. "In just two weeks, we need to identify the right people for each task. Some are agile runners, others adept at lifting or securing equipment,” states Van Rouwendaal, who has brought together his team of thirteen Dutch nationals combined with thirty local talents for this production.

With every show, the crew members ensure every performer has equipment prepared to perfection. "Every artist has their own microphone stand, specifically adjusted for their requirements. If an artist decides to switch footwear unexpectedly, problems can arise if the height isn’t recalibrated," Van Rouwendaal adds with a hint of exasperation.

Props play a significant role in the performances, with each year's contest showcasing increasingly elaborate designs. The tradition of extravagant props began in 1957 and continues to evolve, featuring creative contributions from teams across Europe. This year’s lineup includes everything from disco balls to magical kitchen gadgets and a strikingly designed giant staircase.

Coordinating these elements resembles a grand logistical puzzle, as they are positioned and removed with precise timing and careful planning. "Because of our structured approach, props are kept in a circular sequence, entering from one side of the stage and exiting from the other, ensuring we maintain order," explains Damaris Reist, deputy production head for the event.

Some of these transitions involve covert techniques to ensure seamless performances, including discreet "smuggling routes" used for quick backstage changes. Viewers were enthralled during the 2022 contest when Sam Ryder interacted with an electric guitar that seemingly appeared out of nowhere, a situational trick that Richard Van Rouwendaal was directly involved in.

“We work invisibly, yet every move is choreographed to the absolute minute,” he shares with a chuckle. In the event of mishaps, such as equipment malfunctions, contingency plans are prepared. Quick-thinking directors can buy time by showing the audience, or playback option rehearsal tapes during unexpected delays.

Handling the pressure behind such a dynamic live production can be overwhelming. The team has embraced a supportive work environment, implementing measures ensuring their well-being, such as disconnected zones and open-door rehearsals. Yet, the demands remain high; both Van Rouwendaal and Reist recount 20-hour days filled with preparation and unforeseeable challenges, underscoring their dedication to excellence.

“The show must go on," they affirm, each contributing their share of energy and fun despite the demanding schedules. As the event reaches its peak, these backstage artists remain committed to ensuring the spotlight stays on the performers, often without audience awareness of the invisible craft that makes it all possible. If all proceeds as planned, the audience will never even see them on stage.
